Reporting directly to the CEO, the Sr. Executive Assistant performs administrative duties supporting the CEO and two other senior executives. Responsibilities include drafting organizational communications, project coordination for large scale efforts, preparing reports and financial data. The Sr. Executive Assistant will also provide administrative support such as screening calls, making travel and meeting arrangements, training and managing other support staff, and customer relations. The right candidate will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Summary of Responsibilities:
Heavy calendar management utilizing Microsoft Outlook for members of the Executive Team and shared resources; plans, coordinates and ensures the executives schedule is followed and respected.
Maintains high level of organizational awareness; provides "gatekeeper" and "gateway" role to executives. Filtering callers/visitors and directing incoming communications to maximize executives time and align with priorities.
Participates as an adjunct member of the Executive Team; schedules, coordinates and attends meetings; on/off-site and large scale.
Produce, edit and format correspondence, documents, spreadsheets and presentations.
Coordinate complex travel arrangements.
Maintain contact with internal staff, corporate board members, outside entities and the general public in order to provide information, assistance and conduct research as necessary.
Builds and maintains collaborative relationships with PC leaders and doctor groups.
Demonstrates leadership to maintain credibility, trust and support with senior management staff.
Supervise reception and other administrative support team members.
Process invoice transmittals, requisitions and T&E reports for executives.
Uphold a strict level of confidentiality.
Assists members of the group on special projects, as needed.
Other duties as assigned.
Required Skills
? 7-10 years of relevant administrative experience supporting C level executive levels, experience working in health care a plus
? Advanced PowerPoint, Excel, Word and Outlook skills
? Demonstrated success in large scale project coordination
? Associate's Degree or equivalent work experience
? Must be able to exercise judgment, tact and diplomacy on behalf of the Executive(s) when dealing with senior or top management, internally and externally
? Ability to work with executive management
? Must be flexible and able to balance multiple priorities
? Ability to work well with all levels of internal management and staff, as well as outside clients and vendors
? Must use discretion in making decisions that can have a significant impact on the organization and prioritizes schedules based on organizational needs
? Requires a high degree of judgment and understanding within each function
? Must have a proven record of meeting deadlines, excellent written and verbal communication skills

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
